Can I hire the Cheltenham Racecourse for a daytime event?

We have a range of rooms and facilities available for hire.

Are there conference facilities available at the Cheltenham Racecourse?

We have a range of conference rooms and can hold events from 2 – 2,250 delegates at one time.

Can private guided tours of the Racecourse be arranged?

We have a dedicated tour package to include: exclusive access to restricted areas, including the stables, Gold Cup, final fence, finishing post and weighing room; experienced Redcoat guide to provide insider information; use of our comfortable rooms for refreshments including tea, coffee and biscuits; and a £5 voucher for the Cheltenham Collection. Can I hire the Cheltenham Racecourse for an event for only a couple of hours?

There is no minimum length of event. For information on availability and pricing etc. call our Events Team on 01242 539 538.

Can we hold a wedding ceremony at the Cheltenham Racecourse?

Unfortunately we do not hold a licence for your wedding ceremony. However our Panoramic Restaurant, The Centaur and The Gold Cup Suite offer a stunning backdrop to hold your reception with us. Please call the events team for more information.

What do the venue fees include?

Hire of the room on your chosen day/evening for the full hire period, the full operational support from our Events Team in the run up to your event and one of our Event Managers to co-ordinate and deliver your event on the day, plus security staff and cleaning

Does the Cheltenham Racecourse ever offer a discount on the venue hire fees?

All of our prices are tailored specifically towards your requirements so we can offer the best rates for your event. Please keep an eye out for our seasonal offers.

What is the booking procedure?

Provisional dates can be held without commitment. The length of time that dates can be provisionally held depends on the popularity of the date. Clients will always be given notice and an opportunity to confirm before a provisionally held date is released from them. Once clients have notified us that they would like to book an event confirmation of an event requires a signed copy of the contract which is issued alongside our terms and conditions. The confirmation of all bookings is subject to the payment of 25% of the hire fee by the hirer within 14 days of receipt of the invoice. The final balance is due 8 weeks prior to your arrival and then any outstanding items are issued a final invoice the day after the event has ended.

What is your cancellation policy for confirmed events?

If the event is cancelled more than 60 days of the event then 25% of the total event is charged. If the event is cancelled less than 60 days and more than 14 days of the event then 50% of the total event is charged. If the Event is cancelled within 14 days of the event the full hire fee will be required.

Can we bring in our own caterer or production company?

We have our own dedicated catering company on site – Jockey Club Catering – who are able to supply a whole range of options to suit all requirements.We only allow outside caterers for ethnic cuisine that we do not provide on property e.g Asian Weddings. We do allow clients to arrange their own AV to come in although we also have a dedicated Technical Manager on site to assist with all AV requirements.

Can you offer a food and drink package along with venue hire?

Yes – we offer packages to include food & drink as well as room hire. Call our Events Team for more information.

Can we provide our own alcohol?

Yes, however we do charge corkage for bringing your own drinks.

Can we use our own photographer, musician or entertainment?

Yes – all we ask is for a copy of their public liability insurance.

Can we deliver or set up the day before an event?

Deliveries can be made prior to your event, we do charge for set up prior to your event. Please ensure all packages are clearly marked with the event they are related to.

Can we arrange to leave items in the venue overnight?

Items may be left overnight when pre-arranged and discussed with your event manager. Please note all items left on site are at the owner's risk and the racecourse will not be held responsible for any loss or damage of property.

Can we use our own electrical equipment in the venue?

Yes, however all items will be need to be PAT tested in advance of arrival. If the items are not we can offer PAT testing on site which does come with an additional charge.

Is dancing allowed at the venue?

Yes - we are able to supply entertainment for you or you can arrange your own. Our evening licence for alcohol and entertainment goes on until 2am.

Can we smoke inside the venue?

No – smoking, vapour cigarettes and e-cigarettes are only permitted for use outside the venue.

Is there any parking at the Cheltenham Racecourse?

We have over 10,000 parking spaces onsite, all of which is complimentary to all guests.

Is there disabled access at the Cheltenham Racecourse?

All public areas of Cheltenham Racecourse are fully accessible for disabled and elderly guests.

Do you have an outside space that we can use?

Yes we have a range of outdoor space – our Events Team can help with any further requirements.

Can we hire a space for a photo shoot or filming?

Yes, this is not a problem – please call the events team to discuss your requirements further.

How late can events run and can they be extended?

Our late licence allows us to hold events until 2am.

I need to speak to someone, what time are you open?

Our office opening hours are Monday to Friday, 8:30 - 17:30 excluding Bank Holidays and weekends.
